Introduction
Responsibilities
- Provide seamless support to multiple senior stakeholders, ensuring effective prioritisation of time and commitments.
- Manage complex calendars and coordinate engagements across teams, stakeholders, and time zones.
- Coordinate meetings end-to-end (logistics, materials, follow-ups), ensuring clarity, preparedness, and timely execution.
- Plan and manage travel (international and domestic), balancing efficiency with changing business needs.
- Manage expenses accurately and in compliance with corporate policies.
- Prepare and quality-check materials (presentations, briefings, reports) to a high professional standard.
- Use digital tools and systems to organise, track, and maintain records, ensuring accuracy, accessibility, and follow-through.
- Act as a central coordination point across teams, supporting alignment, communication, and delivery.
- Support broader administrative and team needs, including events, office logistics, and cross-functional initiatives where required.
- Handle sensitive information with discretion and sound judgment.
Requirements
- 10 years or more experience supporting senior stakeholders in a fast-paced, international and multi-stakeholder environment.
- Strong organisational and prioritisation skills, with the ability to manage competing demands and ambiguity.
- Proficient in using digital tools (e.g. MS Office and workflow tools) to manage information, track tasks, and support execution.
- High level of accuracy, attention to detail, and process discipline.
- Strong understanding of governance, processes, and policy compliance.
- Excellent stakeholder management and communication skills.
- Proactive, resourceful, and able to anticipate needs and act independently.
- Resilient and adaptable, with the ability to operate under pressure and evolving priorities.
- High integrity and discretion in handling confidential matters.
