Introduction
Responsibilities
- Provides high-level administrative support to MD in the full spectrum of secretarial work as follows:
- Manage schedules: Co-ordinate and manage the MD’s calendar, scheduling meetings appointments and travels
- Travel Planning: Plan and co-ordinate travel itineraries, including booking flights, hotels and transportation. Prepare and organise necessary travel documents and ensure compliance with travel policies.
- Expense Reports: Prepare, submit and track expense reports. Assist in budget preparation and track expenditures for team-building.
- Document Preparation: Prepare and edit correspondence, reports, presentations and other documents as needed.
- Office Management: Manage office supplies inventory and place orders as necessary.
- Archiving, filing, scanning and printing documents
- Event Co-ordination: Plan and execute company events, meetings and conferences. Co-ordinate events logistics, including venue selection, catering and transportation.
- Team collaboration: Provide support to directors of the team as needed. Act as backup support for other administrative staff during absences or peak periods.
- Communication: Facilitate effective communication within the leadership team and across departments. Draft and send official communications on behalf.

- Ethical Conduct: Maintain a professional demeanour and ethical standards in all interactions.
Requirements
- At least 12-15 years of experience providing full secretarial support to senior leaders and team.
- Attention to details: High level of accuracy and attention to details in all tasks.
- Tech-savvy: comfortable with technology and able to quickly learn new tools and software. Proficient in using digital communication tools like video-conferencing software (Microsoft teams, Zoom etc)
- Problem Solving: Strong problem solving skills and ability to think critically.
- Agile learner, ability to connect the dots, self-motivated, independent and resilient.
- Good co-ordination and stakeholders’ management.
- Excellent communication skills at all levels
